Office 365 Exchange Online Deployment
NOYNIM IT Consulting Denver is utilizing Office 365 (O365) on a daily basis. Customers are looking at O365 more than ever and asking NOYNIM many questions. NOYNIM is involved in Office 365 Business Essentials all the way up to Office 365 Enterprise E4. Most of our clients tend to stick with Office 365 Enterprise E3 but some are also going to E4. In this article we will focus on the two major migration methods that will take an on-premise exchange server and put it on O365/Exchange online.
The three migration methods are mailbox migration, hybrid and cutover. Each method has its pros and cons and we will talk about these at a high level.
Cutover migration will require you to sync all of the on-premise email boxes with O365/exchange online. After you do that you change your DNS entries and verify that the mailboxes have synchronized your mail will flow through O365. Sounds easy and straightforward, but there are many things to consider. Below are some of these:
- Devices that are used to relay (scan to email)
- Number of mailboxes
- Number of unmanaged mailboxes (tablets, smarthphones, etc)
After you are done with the cutover migration your onpremise exchange server basically becomes useless so everything that relied on it now needs to go to O365. All outlook, mobile devices, tables’ email profiles will need to be recreated. This means that someone will have to delete all of these email profiles and redo them. This is trivial since everyone today uses autodiscover but if you have 500 users its really not practical.
Hybrid migration is the most seamless migration that IT Consulting Denver NOYNIM uses. It’s also the best migration strategy for larger deployment but does have a couple downfalls. A hybrid migration will allow you to seamlessly move individual mailboxes to O365 at your leisure. This means that you can simply move mailboxes to O365 one at a time or a few at a time. When you use this method you do not need to reconfigure outlook, mobile devices or tablets. For a large company that has 500 mailboxes this is the best option. Once you switch your DNS entries users can still use the on-premise exchange server and O365. Some issues with this migration is the additional licenses that need to be purchased and you must be running the latest version of exchange.
Mailbox migration or staged migration is an extension of cutover migration in IT Consulting Denver NOYNIM’s opinion. This method allows you to stage a migration and synchronize mailboxes and take your time on migration. You can do an initial synchronization of mailboxes and then do a delta before your final migration. Some issues with staged migration is it doesn’t work on exchange 2010 and 2013. This migration is meant for folks that want to eventually move to O365 but are not ready right way.
